Privacy Policy

LimoPilot is operated by Limo Legacy Luxury Transportation LLC, a single-member limited liability company registered in Texas, United States ("LimoPilot", "we", "us"). This policy explains what we collect, why, and what you can do about it.
There are two different groups of people covered here, and it matters which one you are:
- Operators — limo and party bus companies who subscribe to LimoPilot.
- End customers — the people who send an enquiry to one of those operators, and whose message passes through our platform.
1. Who controls your data
For operators, we are the data controller. We decide what account and billing data we hold about your business.
For end customers, we are a data processor acting on the operator's instructions. The limo company you contacted is the controller of your data. If you want your information corrected or deleted, contact that company first — and if you cannot reach them, contact us and we will route the request to them.
2. What we collect
From operators
- Business name, contact name, email address and phone number.
- Your rate card, vehicle details, photographs and operating rules.
- Credentials or authorisation tokens for the lead channels you connect.
- Billing status. Payment is handled by our payment processor — we never see or store your full card number.
- Usage data: which screens you opened, what you approved, and errors encountered.
From end customers
- Your name, phone number and email address, as supplied in your enquiry.
- The content of your messages with the operator, including messages answered by the AI.
- Trip details — dates, pickup and drop-off locations, passenger counts, occasion.
- Quote, contract and payment status. Card details go directly to the payment processor and are never stored by us.
From website visitors
- Standard server logs — IP address, browser type, pages requested, referring page.
- We do not use advertising or cross-site tracking cookies on this website.
3. How we use it
- To answer, quote and book transportation jobs on the operator's behalf.
- To send transactional messages — quotes, contracts, receipts, booking confirmations and reminders — by email and text message.
- To provide the operator with reporting about their own business.
- To bill for the subscription and provide support.
- To detect abuse, debug faults and keep the service secure.
We do not sell personal data. We do not share one operator's data with another operator, and we do not use one operator's customer data to benefit another.
4. Artificial intelligence
Messages are processed by large language models in order to draft replies and build quotes. Only the information needed to answer the enquiry is sent, and the platform refuses to proceed if credentials or unframed customer text would reach the model's context. Our AI providers are contractually bound not to train their public models on data sent through our business accounts.
The AI proposes and drafts. It cannot delete records, and anything that changes money — a refund, a discount outside your rules, a cancellation — requires a human.
5. Text messages
Where an operator uses text messaging, message frequency varies with your enquiry. Reply STOP to opt out at any time, or HELP for help. Standard message and data rates may apply. Opt-outs are recorded per channel — stopping texts does not stop email, and the reverse — and are matched across phone number formats so an opt-out cannot be missed on a technicality.
Mobile opt-in data and consent are never shared with third parties for their own marketing.
6. Who we share it with
We use a small number of processors, each for a specific job:
- Hosting and database — to run the platform and store your records.
- Payment processing — to take deposits and balances, and to bill subscriptions.
- Email and SMS delivery — to send quotes, contracts and confirmations.
- AI model providers — to draft replies and build quotes.
We may also disclose data where legally required, or to protect our rights or someone's safety. If the business is ever sold, data would transfer with it and you would be told.
7. Where data is held, and for how long
Data is stored on servers in the United States. Operator records are kept for as long as the account is open. If you close your account, you can export everything first; we delete or anonymise your data within 90 days of closure unless we are required to keep it for tax or legal reasons. Billing records are kept for seven years.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data, and to object to certain processing. Texas and other US state residents may have rights under applicable state privacy law; visitors from the UK or EU may have rights under UK GDPR or GDPR.
To exercise any of these, email info.limopilot@gmail.com. We will respond within 30 days. We will never charge you for making a request or treat you worse for having made one.
9. Security
Data is encrypted in transit and at rest. Access is limited to the people who need it. Every database query in the intelligence engine is machine-checked on every build to confirm it carries the right business identity, so one operator's data cannot be returned to another. No system is perfectly secure, and we will tell you promptly if a breach affects you.
10. Children
LimoPilot is a business tool and is not directed at children under 13. We do not knowingly collect their data. If you believe we have, contact us and we will delete it.
11. Changes
If we change this policy we will update the date at the top. If a change materially affects how we handle your data, we will tell operators by email before it takes effect.
