Every job, broken out

What LimoPilot actually does.

Most software for this industry helps you manage work you have already won. LimoPilot does the part nobody covered: it goes and wins it. Below is every capability, in plain language, next to the exact problem it exists to fix.

01 — Capture

Every lead, in one inbox

Your leads do not arrive in one place. They arrive on The Knot, on WeddingWire, in a Yelp message, as a Facebook DM, through your website form, as a text, and as a call you could not take. LimoPilot connects to all of it and pulls every enquiry into a single stream, tagged with where it came from.

The problem it fixesLeads slipping through the cracks because nobody checked the marketplace inbox for two days — and having no idea which source actually produced paying work.

02 — Speed

A real answer in under a minute, at any hour

Not an auto-reply saying "thanks, we'll be in touch." A real, specific answer that moves the job forward: confirming the date is open, asking the one question it still needs, and putting a number in front of her. At 11pm on a Sunday, same as 11am on a Tuesday.

The problem it fixesLosing jobs you were perfectly capable of doing, at a price she would happily have paid, because somebody else replied first.

03 — Pricing

Your rate card, applied the same way every single time

During setup we load your actual pricing: hourly rates per vehicle, minimums, airport flats, weekend and holiday uplifts, seasonal rules, deadhead, gratuity and tax. From then on, the same run gets the same number no matter who asks, what time it is, or how long a day you have had.

The problem it fixesQuoting from memory. The same wedding priced three different ways in one month, and jobs quietly taken below cost on a Saturday in June.

How it built this number
Sat 14 Sept · 7 hours · 14-pax Sprinter
Base — 7 hrs @ $185/hr$1,295.00
Your Saturday uplift (12%)$155.40
4-hour minimumMet
Gratuity (20%)$290.08
Tax (10%)$13.17
Quoted$1,753.65

Every line traces back to a rule you set. Nothing here is invented.

04 — Presentation

A quote that looks like you wanted the job

She gets a proper quote page, not a number typed into a text message: photographs of the exact vehicle she would be riding in, the amenities on board, every charge itemised so nothing feels hidden, the deposit amount, and one button to accept and pay.

The problem it fixesLooking like the cheapest option instead of the best one — and losing on presentation to a competitor with a worse fleet and a better PDF.

05 — Persistence

It follows up, politely, until she answers

Most enquiries do not end in "no". They end in silence, because she got busy planning a wedding. LimoPilot nudges — spaced sensibly, written in your voice, and it stops the moment she replies or says she has booked elsewhere. It never badgers, and it never forgets.

The problem it fixesThe jobs you had already written off. Nobody has time to chase a two-week-old quote, so nobody does — and the one nudge that would have closed it never gets sent.

Day 0 · quote sentHere's the quote for Sept 14 — it holds the date for 48 hours.
Day 2 · nudgeHi Ashley, just checking you got this — happy to adjust the hours if the timings have moved.
Day 5 · last nudgeNo rush at all — I'll release the hold on Friday unless you'd like me to keep it.
Reply · day 5Sorry! Yes please keep it, sending the deposit tonight.

06 — Money

Contract signed, deposit taken, date locked

Accepting the quote and paying the deposit are the same action. The contract is e-signed on the page, the card deposit clears, the date locks in your fleet calendar, and the balance reminder schedules itself. You are not chasing paperwork on a Tuesday evening any more.

The problem it fixesThe gap between "she said yes" and "the money is in" — where dates sit unprotected, deposits go uncollected, and the occasional customer quietly disappears.

07 — Protection

A fleet calendar that cannot sell the same bus twice

Every vehicle, every date, one view. The moment a deposit clears, that vehicle is blocked for that window — including your buffers either side for cleaning and repositioning. Nothing can be booked over it, by you or by the AI.

The problem it fixesFinding out on Friday night that two customers are expecting the same party bus on Saturday, and paying an affiliate a premium to rescue a job you already priced.

Gold means committed. The outlined date is the job that just closed itself at midnight.

08 — Overflow

Broker and affiliate jobs, handled properly

When a job comes in that you cannot cover, it does not have to be a lost job. LimoPilot handles the farm-out side too: quoting the customer at your price, tracking what the affiliate charges you, and keeping the spread visible so you know whether the work was actually worth taking.

The problem it fixesTurning down work because your own fleet is full — and, when you do farm it out, having no clear picture of what you really made on it.

Quoted to customer$1,753.65
Affiliate cost$1,180.00
Your spread$573.65

Visible before you accept the job, not worked out afterwards.

You stay in charge

It works for you. It does not run off on its own.

The most common worry we hear is not "will it work" — it is "what happens when it gets something wrong". So here is exactly where the brakes are.

It stops rather than guesses

If a job falls outside the rules you set — an odd route, an unpriced vehicle combination, a date you flagged — it hands the lead to you instead of inventing an answer.

You can take over mid-sentence

Every conversation sits in one inbox. The moment you start typing, the AI steps back. The customer sees no handoff and no break in the thread.

You can reserve jobs for yourself

Tell it to always route certain work straight to you — a wedding over a value you choose, a repeat client, a corporate account you handle personally.

Nothing happens unattended overnight

It answers and quotes around the clock, but anything that changes money — a refund, a discount beyond your rules, a cancellation — waits for you.

Your data stays yours

Customers, quotes, rate card, booking history. Export any of it at any time. If you leave, you take all of it with you.

Every number opens to its source

Any figure it reports can be clicked through to the actual records behind it. Nothing is a black box you have to take on faith.

Getting started

One to two hours of your time. That's the whole ask.

Setup is done for you. You are not being handed a login and a help centre and wished the best. We build it, load it, test it against your own past jobs, and only then let it speak to a customer.

You hand over three things

Your rate card, photos of your vehicles, and access to the channels your leads arrive on. That is the only homework.

Day 1 · about an hour

We build your rules

Hourly rates, minimums, airport flats, weekend and seasonal uplifts, buffers, gratuity and tax — encoded exactly as you price today.

Days 2–3 · nothing needed from you

We test it against your history

We run your real past jobs back through it and compare what it would have quoted with what you actually charged. You see that comparison before it goes anywhere near a customer.

Day 4 · about thirty minutes

It goes live, watching first

It starts by drafting replies for you to approve. Once you are comfortable with what it writes, you let it send on its own.

Day 5 onward

Come and see it

See it quote your kind of job.

Bring a real enquiry you have had recently. Thirty minutes, and you will watch it price that exact job with your kind of vehicle. Already sold? Use the same link to book your onboarding call instead.
